How to Describe a Process Diagram in IELTS Task 1

Process diagrams are one of the most mishandled question types in IELTS Writing Task 1. Most candidates either treat them like a bar chart — throwing in unnecessary comparisons — or narrate each stage so mechanically that their response reads like a list with connectors glued on. A high-scoring process description requires a clear overview, precise passive voice usage, and a logical sequencing framework. This post breaks down exactly how to build that response, stage by stage.
Understanding What a Process Diagram Actually Tests
Unlike graphs or charts, process diagrams do not ask you to compare or identify trends. They show how something is made, how a natural cycle works, or how a system operates. Your job is to describe the sequence of stages accurately and cohesively. The examiner is looking at four criteria: Task Achievement (have you covered the key stages and written an overview?), Coherence and Cohesion (does the sequence flow logically?), Lexical Resource (do you use varied, precise vocabulary?), and Grammatical Range and Accuracy (do you control passive constructions and complex sentences?).
Tip
Before writing a single word, number every stage on the diagram. This prevents you from accidentally skipping a step or describing stages out of order, which directly damages your Coherence score.
The Four-Part Structure That Examiners Expect
- 1Introduction — paraphrase the diagram title. Never copy it word for word. Change the sentence structure and swap key nouns for synonyms.
- 2Overview — identify the total number of stages, whether the process is linear or cyclical, and the broad start and end points. This is the paragraph most candidates skip, and skipping it caps your Task Achievement score at Band 5.
- 3Body Paragraph 1 — describe the first half of the process in detail, using sequencing language and passive voice where appropriate.
- 4Body Paragraph 2 — cover the second half, continuing the sequence and picking up any sub-processes or parallel stages.
Watch out
Do not write a conclusion for a Task 1 process diagram. Summarising what you have just described wastes precious words and signals to the examiner that you have confused Task 1 with Task 2 conventions.
Writing the Overview: The Make-or-Break Paragraph
The overview sits at the end of your introduction or as a standalone second paragraph. It should be two to three sentences that capture the big picture without detailing individual stages. For a diagram showing how bricks are manufactured, your overview might note that the process is linear, consists of seven distinct stages, and moves from the extraction of raw materials through to the delivery of finished bricks. That is enough. The overview is not the place to mention that clay is heated to 1300 degrees — that belongs in a body paragraph.

Language Tools: Passive Voice, Sequencers, and Process Verbs
Most man-made processes require the passive voice because the agent — the person or machine doing the action — is either unknown or unimportant. Natural cycles, such as the water cycle or a life cycle, often use the active voice because a subject (water, the larva) performs the action. Getting this distinction right is an immediate marker of a Band 7 candidate.

For sequencing, move beyond 'first, then, finally.' Examiners see those words hundreds of times per session. Use a varied range: 'At the initial stage,' 'Once this has been completed,' 'Subsequently,' 'At this point,' 'Following this,' 'In the penultimate stage,' and 'Upon completion of this step.' Vary sentence openers so that not every sentence begins with a sequencer — embed some sequencers mid-sentence instead.
- High-frequency process verbs: extracted, refined, converted, filtered, treated, assembled, transported, distributed, generated, released
- Useful passive structures: 'is fed into,' 'is subjected to,' 'is broken down into,' 'is passed through,' 'is allowed to,' 'is then collected'
- Linking phrases for parallel stages: 'Meanwhile,' 'At the same time,' 'Simultaneously,' 'In a parallel process'
Handling Cyclical Processes and Parallel Stages
Cyclical processes — the water cycle, a frog's life cycle, the carbon cycle — have no definitive start or end point. When you write your overview, explicitly state that the process is cyclical and choose a logical starting point, typically whichever stage appears at the top of the diagram or whichever the diagram labels as 'Stage 1.' Close your body paragraphs by showing how the final stage feeds back into the first, using a phrase such as 'The cycle is then completed when X returns to Y, whereupon the entire sequence begins once more.'
Some diagrams show parallel branches — for example, a recycling process where different materials are sorted and treated simultaneously. Handle these by completing one branch fully before moving to the other, and signal the shift clearly: 'While glass is being processed in the manner described above, plastic undergoes a separate treatment procedure.' This demonstrates sophisticated cohesion rather than confusion.
Tip
For any process with more than eight stages, group related stages into phases — for example, 'the extraction phase,' 'the refining phase,' and 'the distribution phase' — and describe each phase rather than each individual step. This keeps your word count manageable and your writing analytical rather than list-like.

Then the clay is put in a mould. Then it is dried. Then it is put in a kiln. Then it is cooled.
✓ Band 7+
The shaped clay is first left to dry naturally before being subjected to intense heat in a kiln at temperatures reaching 1300°C. Once the firing process is complete, the bricks are gradually cooled in a controlled environment.
Watch out
Avoid inventing information that is not shown in the diagram. If the diagram does not specify a temperature, do not write one. Fabricated details are penalised under Task Achievement because they misrepresent the source material.
The most reliable way to improve your process diagram score quickly is to practise writing overviews in isolation. Take ten different process diagrams, write only the overview paragraph for each, and check whether someone unfamiliar with the diagram could understand the scale, direction, and nature of the process from your two sentences alone. When the answer is consistently yes, the hardest part of the task is already under control.
